Scenarios and Benefits

1.I only want to track visitors to my company. Is this system suitable?


We recommend mounting an iPad at your reception desk, and ask all visitors to sign in and out.

Operators with access to the Dashboard will see which visitors are on site, and have access to attendance history, trends and statistics.

2.I need to replace my visitor log book with a more professional system. Can you help?

Yes, absolutely!

The Attendance system helps create a great first impression for your visitors.

3.We have a paper based time sheet system. What benefits could the Attendance system provide us?

Paper-based time sheets can be prone to error or hour-creep. By signing in and out with an iPad, the system knows accurately how long people are at your place of work.

Paper systems can also be inefficient, with data needing to be retyped and duplicated into another system. The Attendance system makes the most of the data it captures with graphs, analysis, trends and history shown on the Dashboard.

The Attendance system produces a single time sheet for each office each week. This is far simpler and a major time-saver across your business if you have lots of staff completing individual time sheets.

Furthermore, there are logistics involved in getting paper time sheets to the right people at the right time. For example, your payroll team may be operating from a different location, and have to collect time sheets from various sources. With the Attendance system, all information is accessible from any Internet connected device and account login.

4.Our company is spread over multiple locations or cities. Does the system offer a consolidated view?


On the Dashboard, operators set up a site for each office or place of work.

The Dashboard shows attendance statistics and graphs at a consolidated level, while still being able to delve deeper into graphs and time sheets at a site level.

5.We are a medium to large construction company, or main contractor. What can you offer us?

We recommend mounting iPads in locked enclosures in your site sheds, and require everyone to sign in.

Use the mobile phone app to do a roll call for health & safety compliance, and in the event of a real emergency.

Link workers' activities on site to job cost codes.

Produce weekly time sheets for payroll.

Report job cost codes against budgets to see progress over time, and the percentage of budget usage.

NB: These benefits are available to all customers, and particularly suit environments where places of work have start and end dates with budgeted hours over that period.

6.We are a small to medium construction company, or subcontractor. What can you offer us?

When arriving at site, have site managers sign their team in through the Dashboard on their laptops.

Link workers to job cost codes to monitor progress against budgets.

Time Sheets

1.How does your system produce time sheets efficiently and accurately?

The Dashboard calculates the number of 5, 10 or 15 minute intervals between signing in and signing out on the Attendance app.

Operators can assign Activities such as Marketing, Training, etc. by dragging sliding bars.

Rules can be set up to automatically deduct time for meal breaks, limit the number of payable hours per day, and assign people to Activities specific to your business.

For example, a rule can be scheduled for Wednesdays to automatically assign a 30 minute lunch break to a person once they have been signed in for 3 hours.

Weekly time sheets are downloaded from the Dashboard as Excel (*.xlsx) files for use with your accounting and payroll system.

2.What are Activities?

Activities are the things your staff do on a day to day basis.

They are specific to your business.

Activities can be paid such as "Marketing", or unpaid such as "Lunch break".

The system can report on Activities, showing how many hours have been allocated to each one and how that compares to a budget.

Activities can be assigned by choosing from a popup menu when editing a time sheet.

3.What if someone forgets to sign in?

If someone signs in late, or not at all, then they can notify an operator.

The operator can adjust the number of hours for the day in the Dashboard.

Adjustments are highlighted in Excel when downloading a time sheet.

4.How does the system handle annual leave and sick leave?

This is done by assigning one of four Activities to a person: "Annual Leave", "Unpaid Annual Leave", "Sick Leave" or "Unpaid Sick Leave".

Other types of leave can be set up in the Dashboard.

The time sheet reflects whether an activity is paid or unpaid.

5.What if a staff member claims there has been a mistake with their pay?

The Dashboard can be used to investigate the attendance history and time sheet for a person.

A graph showing start and end times reveals how long they were on site on any day.

Photos taken when signing in and out can also been reviewed.

Reviewing a time sheet will show their activities, and any deductions for unpaid activities.

iPad / iPhone App

1.The system does not require identity or swipe cards, so how does it ensure people can only sign themselves in?

The system produces time sheets for use by your accounts team to pay wages, creating the potential for people to sign their friends in at an earlier time.

To prevent this the Attendance app has an option to take photos when staff sign in and out. Thumbnails are visible in the app and can also be viewed in the Dashboard.

2.Some people might not like their photo being taken. What can be done about that?

The Attendance app has a number of live photo filters built in.

Available filters include automatic air brushes to smooth out wrinkles and skin tones, sepia and black & white effects, and a paint brush effect.

The effects add an element of fun to signing in and out, yet still produce photos that are easily identifiable.

Taking photos can be disabled in the Dashboard if preferred.

3.Can more than one iPad or iPhone be used at a single site or office?


People can sign in using an iPad at a reception counter, and sign out on another iPad located at an exit door.

4.How can I prevent an iPad from being tampered with?

iPads can be mounted in locked enclosures on a counter top or wall. Security enclosures are available from a number of vendors.

5.How does the app prevent people from tapping the Home button and opening other apps?

The Attendance app works with Guided Access mode. Guided Access is part of iOS, and is turned on through Settings.

It prevents the Home button from exiting the app. Tapping the Home button three times prompts for a PIN, which will then exit the app.

6.Which iPad or iPhone model is recommended?

The Attendance App works on all iPads and iPhones with iOS 8.0 or later. If an iPad will be used in an area without a Wi-Fi network, then an iPad supporting a SIM card will be needed.

iPads with a 9.7 inch Retina display give the best overall experience. An iPad Mini or iPad Pro can also be used.

7.Where can I download the Attendance app?

The Attendance and Time Sheets app can be downloaded from the App Store to your iPad or iPhone.

8.Is the app available on Android?

A web app is available for Android devices. The web app lets you see who is signed in, do a roll call and sign people in and out on their behalf.

The system also works using just the Dashboard. Operators can sign people in and out using the Dashboard, as well as manually add staff to time sheets and set their hours for each day.

Data Privacy and Security

1.The attendance system collects names of staff and visitors and their time on site. What is your data privacy policy?

Data privacy is extremely important to us.

We understand and value the privacy and protection of all data in our systems.

We will never share your data with third parties for any reason other than operational requirements to host the service in the cloud.

2.Are you GDPR compliant?


We have implemented several measures to be compliant with the EU General Data Protection Regulation (GDPR).

The system requires consent when signing up for an account, and consent from visitors when signing in for the first time. The Dashboard supports Service Access Requests (SAR) for use when people request a copy of their personal information. From the Dashboard you can easily delete an individual and their attendance history should they issue a right-to-be-forgotten request. We do not allow children under 16 to sign in without parental consent. Our Privacy Policy has been updated to make it clearer how personal information is collected and used and that it is done for legitimate purposes.

3.What measures are in place to secure the system?

All traffic is encrypted with HTTPS. All user credentials are stored with strong encryption in our databases. Databases are not shared between customers, as each customer has their own isolated database. Our servers are carefully configured with firewalls in place. All attempted logins are recorded, and after several failed password attempts accounts are temporarily locked. Passwords for accessing the dashboard have minimum requirements (8 characters, mix of digits and upper/lower case letters).

2.Can companies use the Community Edition?


Companies are very welcome to use the Community Edition.

If over time you find the system beneficial, and are willing to contribute to our running costs, then please consider:

- opting for the Business Edition, or

- making a donation, or

- introducing the app to other companies.

3.Is the app free from advertising?


The app does not show any advertising.

4.Why do you offer a free version?

By offering a free version, the app is seen and used by a wider audience. As adoption grows, so too does the number of customers opting for the Business Edition.

5.If I want to support you, how can I?

We are especially appreciative of donations from our customers. It helps us develop new features and cover the costs of our server infrastructure.

Billing and Payments (Business Edition)

1.Do you offer a trial period for the Business Edition?

Yes, all customers wanting to try the Business Edition are eligible for a 30 day free trial.

This is applied automatically, with no coupon code needed.

2.What happens after the trial period?

At the end of the free trial, we will email you asking if you'd like to continue with the Business Edition.

We hope you will find the additional features in the Business Edition very valuable, and will choose to continue. Otherwise your account will revert to the Community Edition, with no fees owing.

3.What methods of payment are available?

If you choose to continue beyond the trial period, we will email an invoice to you each month.

Payments can be direct credited to our New Zealand bank account via Telegraphic Transfer (TT), or paid with PayPal.

4.What currencies can I use?

We accept payments in US Dollars (USD) or New Zealand Dollars (NZD).
